VCOA Spring 2010 Meet Planning; Discussion Thread

Alright folks, we know SBB isn't until next year, but we would like to get planning under way.

What we are looking for is suggestions for next years event. We'd like to do it bigger and better like we have so far.

What did you guys like about the last event, what do you look forward to for us to continue doing?

What didn't you like? (weather is not something we have control over :P and the date of the event will be planned to coincide with the majority of major schools spring break holiday schedule)

What can we do to make the event even better?

Also up for discussion is where to hold the next event. Houston/Katy hosted the original 3 events so I'll take it off the table for now. Unless Dallas does not host an event this fall it will also be off the table.

San Antonio can be suggested again as it's a solid central location and we haven't done it to death yet. Austin, Corpus Christy, any major city that has plenty of attractions for visitors will be considered. However we do ask that any location suggested have at least 1 local member to deal with issues and helping to coordinate.

I personally would throw out Galveston as a possibility, but a last resort due to the fact that it's still very close to the Houston area and we would like to diversify.

This is still simple mediation, but I would like to start hammering out details before winter as to have time to prepare announcements for ROLLING mag and any other media.

I think it's great that you are hoping on this early John. I know for many of us plenty of planning time also helps us get off work, etc.

I think Austin would be a great place...been a while since we've had a major meet there. Plenty of night light, great places to eat and stay, plenty of parks around in the area for the meet, etc. I think there is plenty of people in the Austin area as well to help with the planning.

Galveston would be very cool but I don't think after the hurricane it is near as scenic there as it used to be...but hey a beach event would be very cool...possibly plan for a late somemer meet there next year? Corpus would be cool but a good drive for those up north.

I did enjoy the morning meet up and group drive- thought this was very cool.
I did enjoy the meet being at the park VS the dealership. Less cluttered and plenty of space. I also liked the awards being given as people choice and not a judged event per-say.

What I didn't enjoy was the lack of participation on the group events you planned- such as breakfast, group hotel, etc. I'd like to see the group participate more AS A GROUP. I thought those items were well planned and just wished more folks would have turned out for them. We did and enjoyed it.


Y'all did an excellent job this year and I think next year will only be better.

Put my vote down for Austin.

If you want a fall DFW meet thats fine but we need our own thread. I can help to some extent in planning. You best bet is PRE thanksgiving but after it cools off...so late october. I can tell you if you want any help with that from me it would have to be at the end of october. I am booked up with work stuff in early Nov.

keep in mind that George McDonald of VCOA wants to host a VCOA/TB/VS meet in Columbus.TX in October, like the Katy meet, so you should plan around that.

Alright ATX wins, so anybody have any ideas on where we could/can go? I'm not very familiar with the area. Lakes, parks, scenic drive roads, good sized parking lot. If you were at SBB 4.0 expect it to be about the same size if not larger so keep in mind we should be able to accommodate for all members without too much hassle.

Due to ROLLING mags quarterly release dates and the first issue of the year being released in early to middle February, it'll be too last minute to give everyone notification, so we'll need to provide ROLLING with at least a solid date and location to lock in for the Nov/Dec issue which means we have to give them that information by Oct. 1st. So lets start figuring out where we're going to do this soon so we can at least give members a place holder for the event.
